Terms & Conditions
1. Acceptance of Work
Upon receiving instructions to undertake a project, BEST Norfolk Office Solutions (know as ‘BEST’) will provide the Client with a “Letter of Commission” outlining the project to be undertaken. The Client must return a signed copy of this letter before
commencement of the assignment can be undertaken. This is deemed as the Client’s full acceptance and agreement to the following
Terms & Conditions.
2. Payment
Pay-As-You-Go and Digital Transcription
Will be invoiced on a weekly or monthly basis. Payment is to be received 7 days after receipt of invoice.
Retainer Packages
Any new Retainer contract will require a 25% deposit prior to commencement of a contract. Work will be invoiced on a monthly basis. Payment to be received 14 days after receipt of invoice.
Work undertaken on an hourly basis will be invoiced either weekly or monthly (as agreed with the client). Payment is to be received 7/28 days after receipt of invoice. Retainer packages will be invoiced on a monthly basis. Payment for retainer packages should be received 14 days after receipt of invoice. Payment can be made by cheque, made payable to BEST, or by Online Internet Banking (account details will be supplied separately).
All invoices will be submitted in pounds sterling. If an invoice remains unpaid after 14 days the unpaid amount will incur interest of 5% on the total
outstanding amount accrued.
Additional Charges
Any additional costs for telephone calls, stationery or postage as a result of the project will be added to the invoice together with mileage rates where applicable.
3. General Information
Although BEST Norfolk Office Solutions undertake quality checks on all projects, the final responsibility for proof reading of all work lies with the Client. In the event of an error on the part of BEST, this will be rectified at no extra cost to the client provided notification is received within 7 days of receipt of the completed project.
A guide to successful digital transcription will be provided to clients using this service.
4. Data Protection Act
BEST reserves the right to hold information relevant to the Customer in accordance with the Data Protection Act 1998. This information may be stored in a computerised database and/or in paper format, will be treated in the strictest of confidence and will only be used internally by BEST unless otherwise legally required to do so. Back-up copies of client files will only be kept for a period of three months, after which time they will be deleted.
BEST operates and regularly updates Anti-Virus software. However, BEST cannot be held responsible for liability of any damage caused by computer viruses. Clients are advised to ensure that they have up to date virus protection systems in place at all times.
Confidentiality
BEST has a strict confidentiality policy. No details regarding our clients or information relating to any work carried out will be disclosed or passed to a third party without prior consent unless we are legally obliged to do so.
5. Disputes
All disputes will be dealt with by BEST complaints procedure a copy of which can be provided upon request.
